Price changes on site β as needed, within a limit, or locked
Every job sheet tells the tech, in plain words, whether they can change the price:
- You may adjust the price as needed. The tech adds or takes off what the job needs. Each change goes straight on the estimate, and on the QuickBooks invoice if there already is one.
- You may adjust the price up to $X. Changes up to that amount go through on the spot; bigger ones wait for the office.
- π PRICE LOCKED β no changes on site. For the jobs where the price is set in stone. If the customer asks for more, the tech calls the office.
Company defaults
Company Profile β Price Changes on Site (app or web) has one setting for each kind of customer:
- Residential jobs: As needed unless you change it.
- Commercial jobs: Locked unless you change it. Many companies set this to As needed or Within a limit too.
Within a limit means up to a % of the job and/or a dollar amount; when both are set, the smaller one applies.
Lock (or open) one job
On the estimate, On-Site Price Changes: Company default, Locked, Tech may adjust within a limit, or Tech may adjust as needed (with a note like "OK to add stain treatment, no discounts"). For a sent or accepted estimate on the web, the change saves right away and the crew's job sheet updates.
When a tech makes a change
On the job sheet the tech taps Change the Priceβ¦, says what changed, the amount (add or credit) and why.
- As needed, or within the limit (counting earlier changes on the same job): it's approved right away and added to the estimate as a line ("Changed on site by Kai β customer asked").
- Over the limit: it waits for you. You get an email (the Customer Answer Emails list and the estimator), and the estimate shows Approve / Decline.
- Already invoiced in QuickBooks: the invoice is updated to the new total. If the invoice is already paid, it isn't changed; the estimate shows a note to make a new invoice for the difference.
Every change keeps who asked, when, why and who approved it. Re-save the estimate in the builder to recalculate sales tax and the minimum with the new line.
