Payment terms and card fees
Payment terms
Set in three places — the most specific one wins:
- Company default — Settings → Company Profile & Logo → Payment Terms.
- Customer — Edit Customer → Payment Terms (for example, Net 30 for a commercial account).
- Estimate — Payment Terms on the estimate, for just that job.
Choices: Due at time of service, Due on receipt of invoice, Net 15, Net 30, Net 60, or Custom (your own wording, and optionally the number of days). Add a deposit to schedule (percent of the one-time total) and a late fee line if you use them.
Terms print under the total on the proposal and on the accept page, and become the invoice terms in QuickBooks (Net 30 invoices are due 30 days out).
Credit card fees
Settings → Company Profile & Logo → Credit Card Fees:
- Credit card surcharge — up to 3%. The proposal says: "Credit card payments add a 3% surcharge (not applied to debit cards). Check or ACH: no fee."
- Cash / check discount — quote the card price, and take a percentage off for check, ACH or cash. Allowed everywhere.
Before you surcharge:
- Card networks require 30 days' written notice to your card processor.
- Surcharges can never be charged on debit cards, and can't be more than your actual processing cost.
- A few states ban surcharges (for example Connecticut and Massachusetts). Check the rules where you work.
The app shows the fee; the fee itself is added where the payment is taken (QuickBooks Payments or your card reader). On the accept page, customers pick how they plan to pay — check/ACH, credit card or debit card — and you'll see it on the estimate.
