Reports and sharing
Office web page → Reports, or in the app: Settings → Reports. Owners, admins and office staff see their own company. Pick All Depts. or one department at the top.
What's on it
- Revenue: today, yesterday, month to date against the same dates last year, last month, and year to date against the same dates last year. Each shows the dollars and the number of jobs.
- Bookings:
- Daily jobs for today and yesterday as done / still open / canceled – on the schedule. Tap a day for each tech's row.
- Booked out of estimates sent, with new leads, for today, yesterday and the month.
- Cancellations and reschedules for today, yesterday, this month and last month.
- Averages: the job average and daily average, by department and by tech.
- Quality: reservices against Plan B callbacks, this month and last.
- System snapshot: techs, vans (with the Fleet add-on), job and daily averages, total revenue, booked revenue still ahead, cancellations, reservices, lost sales (declined estimates, estimates past their good-through date, lost leads), and booked on the 1st.
How revenue is counted
Revenue is the finished cleanings at the estimate total. A job counts once, on its first cleaning day, once that time has passed or it's marked done. No-charge reservice visits don't count. Booked revenue is the jobs still on the schedule.
Maintenance-plan visits count one at a time, each on its own day, at that visit's price in the plan.
- A monthly or annual plan with no per-visit price is split evenly: the year's total ÷ its visits.
- When the plan's first visit is at the plan price (a "contract" first visit), the first cleaning counts at that lower price.
- The plan is never counted twice: the estimate total is the one-time cleaning, and each visit adds its own price.
- Canceled visits don't count.
The Tech Scoreboard still counts cleanings only, so the two can differ when you have plans.
Booked on the 1st
For each month: what was already on the books at midnight on the 1st. Past months read Booked on the 1st: $X → finished month: $Y; this month reads Booked on the 1st: $X; so far: $Y.
Every night Preflight saves what's booked for this month, next month and the rest of the year, so from now on the 1st's number is exact. Older months are worked out from when each job was booked and canceled.
When there's a year of history, you also get an estimate for the year: what was booked on January 1 × how last year finished against its January 1 books. It's an estimate, not a promise.
All companies
If you own or run more than one company, or more than one shares reports with you, pick All companies. You get the totals plus a row per company. Averages are worked out again from the totals.
Sharing reports
Settings → Report Sharing (owners and admins):
- Type the person's email. They must already have a Preflight Cleaning Pro login; if they don't, you'll be asked to have them create one first.
- Tick the reports they may see: Revenue, Bookings, Averages, Quality, System snapshot, Goals.
- Tap Share. They get an email.
You can change their reports or Revoke them any time.
People you share with:
- aren't on your team and don't take a seat;
- never see customers, estimates, schedules or anything else, only the numbers in the reports you picked;
- land on the reports when they sign in, and pick your company from the company button at the top.
