Setup
Bring customers in from a spreadsheet
Office web page → Customers → Import (owners and admins). For QuickBooks Online, use Settings → QuickBooks → Bring your customers in instead: it brings past invoices too.
Steps
- Save your list as a CSV file, with column headings in the first row. In Excel or Google Sheets: File → Save As (or Download) → CSV. Most systems have an Export → CSV.
- Pick the file. Preflight reads it in your browser.
- Match the columns. Preflight guesses from the headings: name, company, first and last name, email, phone, mobile, address (one column, or street, city, state and zip), billing address, notes, residential or commercial, active or inactive, and lead source. Fix any it got wrong. It remembers your choices for the next file with the same columns.
- Check the first rows and the counts, choose which customers (everyone, only commercial, or only residential), and Bring them in.
- When it's done, Check for duplicates.
Good to know
- Customers already in Preflight are matched (email, phone, then the same name) and linked, not copied. Empty fields are filled in; nothing you typed is changed.
- Residential or commercial: a type column wins. Otherwise, a company name means commercial.
- Rows without any name are skipped. Inactive customers come in archived (uncheck to leave them out).
- Importing the same file again updates instead of copying.
- Remove everything from spreadsheet imports… at the bottom of the page takes back out what spreadsheet imports brought in (QuickBooks imports aren't touched). Customers someone already started work on are kept.
