QuickBooks from an estimate
When your company is connected (see Connect QuickBooks Online), each estimate has a QuickBooks section — in the app, and on the office web page when you open a sent or accepted estimate (Send to QuickBooks, Create Invoice, Set Up Plan Billing).
- Send Estimate to QuickBooks — creates the QuickBooks estimate with the same lines and total as your proposal. Use Update QuickBooks Estimate after changes.
- Create QuickBooks Invoice — creates the invoice, linked to that estimate. If the estimate wasn't sent to QuickBooks yet, it's sent first.
If your owner turned on Create the invoice when a customer accepts, accepting online makes the invoice automatically.
Service plans
- Monthly or annual billing — Set Up Plan Billing makes a QuickBooks recurring invoice for the plan: the monthly amount (or the year total) on the 1st, starting next month (or the plan's start month), for the plan's term. It's set to remind you, so QuickBooks asks before each one goes out. Once set up it shows Plan Billing Set Up ✓.
- Per-visit billing — after each visit, Invoice a Plan Visit → pick the visit. That invoice is the visit's price.
If your owner turned on Set up plan billing when a customer accepts the plan, accepting online with the plan does this for monthly and annual plans.
Deposits and paying online
When Let customers pay online is on and your payment terms ask for a deposit, accepting online creates a deposit invoice in QuickBooks and the accept page shows a Pay now button (card or bank transfer). The final invoice takes the deposit off as a Less deposit line.
With a deposit, the final invoice isn't created automatically on accept; make it with Create QuickBooks Invoice after the work. Its payment link shows on the estimate as Customer's QuickBooks payment link, ready to text or email.
The customer is matched by name, or added to QuickBooks if they're new. Any problem shows under the buttons in plain words.
