Find and merge duplicate customers
Office web page → Customers → Duplicates (owners, admins, estimators and office staff).
What it finds
Pairs that look like the same customer: the same email, the same phone (any format), the same name (ignoring "The", "Inc", "LLC" and punctuation), or the same address typed two ways ("100 N. Main Street" and "100 n main st"). Each pair shows why it was picked. Locations of the same account aren't listed — they share a phone on purpose.
Less likely pairs — only a phone or email in common, with different names and addresses — are folded away at the bottom. That's usually a property manager, a family, or one office number for several businesses; tap Not duplicates to clear them.
Exact pairs have the same name and the same email, phone or address. Merge all merges every exact pair at once.
Merging a pair
- Check which one is Keep — Preflight suggests the one with more estimates on it. Swap which to keep if you'd rather.
- Merge… shows anything that differs (name, address, notes). Pick which to keep; for parking, entry, hose and safety notes you can keep both.
- Merge. Everything on the other customer moves to the one you keep: contacts, estimates, scans and floor plans, photos and documents, appointments, jobs, walkthrough notes, follow-ups, past invoices, locations, perk codes, proposal links, the payment-on-file note and the QuickBooks link.
- The other customer is archived with a note pointing to the one it went into, so old links still land somewhere.
Not duplicates
Not duplicates stops suggesting that pair — for two real customers who happen to share a phone or name.
Undo
Recent merges at the bottom of the Duplicates page: Undo puts the customer back with its records, for 30 days. Anything added to the kept customer after the merge stays there. Every merge and undo is in the Security Log.
