Estimating
Payment info on file
On a customer: Payment on File → Mark Payment Info on File. Record:
- the type (card, bank/ACH, check or invoice);
- where it's kept, e.g. QuickBooks Payments, Stripe, the locked file cabinet;
- for cards, the brand, last 4 digits and expiration (MM/YY);
- whether the customer said you may charge it, plus notes.
Never type a full card number, CVV or bank account number. The app refuses anything that looks like one, and so do the security rules on the server.
Estimators, office staff, admins and owners see it. Techs don't. An expired card shows in orange.
