PO numbers, invoice fields and the Invoice Sheet
Office web page. For owners, admins, estimators and office staff.
A customer's invoice fields
Customer page → Invoice Fields & PO. Every job already has a PO number. Add whatever else this customer needs on the invoice. For a builder, Start with builder fields fills in Community, Collection, Toll / job #, Lot, Block and Superintendent.
- Same every job at a location: filled in from the last job at that house or building (lot, block, community), so you type it once.
- Person: pick from the customer's contacts (current ones only), or type a name.
- Set them on the account (Toll Brothers). Every location under it (each house) uses the account's fields.
On each job
Open the estimate → Invoice details: PO number and the customer's fields, then Save. They go:
- on the QuickBooks invoice message, with the house's address. If QuickBooks has a "P.O. Number" custom field turned on, the PO goes there too.
- on the ZRWare sheet, as one line to copy into ZRWare's PO box.
- on the Invoice Sheet.
The Invoice Sheet
Customer page → Invoice Fields & PO → Open the Invoice Sheet. It shows every job for the account and its locations in a month, dated by the cleaning appointment. Each row has the address, every field, the PO, the invoice number, what was done and the total.
- Anything missing is highlighted.
- Copy table pastes into a spreadsheet or an email. Download CSV saves a file.
- Check Billed as you bill each one, or Mark all shown as billed. Not billed yet only shows what's left.
Former contacts
Edit a contact → No longer there. They move under Former contacts on the customer page, are left out of pickers, and can still be found by searching.
