Multiple locations and repeat cleanings
Accounts and locations
For a customer with several buildings (fire stations, branches, schools), make one account and put each building under it as a location.
- Open the main customer (for example City Fire Dept).
- Under Locations, tap Add a New Location (it copies the account's type, rates, billing and terms) or Add an Existing Customer as a Location.
- Each location is a full customer of its own: address, entry codes, scans, photos, stairs and seating. It shows Part of City Fire Dept at the top.
Swipe a location to take it off the account. On the office web page, Edit Customer → Location of an account does the same.
On the office web page
An account's page has a Locations folder at the top: a card for each building with its address, entry notes and contact. Click one to open it, or + Add a location to add a new building under the account. In the main customer list, locations are tucked under their account ("Account · 3 locations"); a search finds them directly.
Archive a location
When you stop serving a building (a house the property manager no longer manages, a closed station), archive it instead of deleting it. Its scans, photos and estimates are kept, but it drops out of the account's list, the main list and combined estimates.
- App: swipe the location on the account's screen and tap Archive. Show Archived Locations brings it back into view; swipe again to Unarchive.
- Web: click Archive on the location's card. Show archived at the bottom of the folder shows them.
One estimate for every location
Start the estimate from the account. Choose Rooms lists every location's rooms, grouped by location, and lines read Station 3 · Apparatus Bay. Each service's square footage adds up across all the locations, so the whole account gets the bigger-job rate.
The Locations section on the estimate shows each location's square footage and share of the price, and how the proposal goes out:
- One combined proposal: one document and accept link for the account, with a section and subtotal for each location, then the total.
- A proposal per location: tap Make Location Proposals. Each location gets its own estimate and proposal (on its customer screen and in the Estimates tab), priced at the rate for all the locations together, so the location prices add up to the combined price. After changes, tap Update Location Proposals; ones already sent aren't touched.
Repeat cleanings
Each rate set chooses how service-plan visits that repeat during the year earn a break (Settings → rates → Repeat Cleanings, in the app or on the web):
- No repeat discount: each visit priced on its own.
- Rate from the yearly total: each visit gets the tier rate for all the square feet of that service cleaned in a year. Four cleanings of 3,000 sq ft price like 12,000 sq ft. Works with your bands or tiers, no extra numbers to set.
- Discount by frequency: set percentages, for example 2× a year 5%, 4× a year 10%, 12× a year 15%. The visit minimum still applies.
Repeat-cleaning breaks stack with multi-location volume: a quarterly plan across six stations is priced on all six stations' square footage, four times a year. The plan section shows the discount or the yearly volume next to each visit, and the proposal says so too.
