Scheduling estimate visits and cleanings
Schedule something
- Estimate visit — on the customer (app or office web page): Schedule Estimate Visit. Handy when a customer calls in.
- Cleaning — on an estimate (Schedule the Cleaning), or on the customer. The length is suggested from the estimate's square footage (1 hour to set up plus about an hour per 1,500 sq ft); change it as needed.
Pick the date, start time and length, check the address, choose the customer contact, and tick who's going. Add a message for the customer or notes just for the team.
Calendar invites
With Email the customer a calendar invite on, the customer gets an email with an invite that adds to Google, Apple or Outlook calendar. Your team gets one too. If you change the time, length or address, they get an update and the event on their calendar moves; Cancel Appointment sends a cancellation and removes it.
Add to My Calendar (app) or Add to Google Calendar / Apple-Outlook (.ics) (web) puts one appointment on your own calendar right away.
The Schedule
- App: the Schedule tab lists what's coming up by day; Just mine shows only yours (techs see theirs by default).
- Web: Schedule at the top — a week at a time, with ‹ › to move between weeks.
- Tap an appointment to change it, Mark Done, or cancel it.
Everything on your phone's calendar
On the web Schedule, Get My Calendar Link gives you a private link. Subscribe to it once — tap it on an iPhone/Mac, or in Google Calendar choose Other calendars → + → From URL — and every appointment you're on shows up and keeps itself up to date. Owners, admins and office staff can also get Everyone's calendar. Keep the link private.
Using another scheduling system?
Appointments are stored in one simple shape so they can be sent to other systems (CRMs, Zapier) — coming next.
