Search, estimate and invoice numbers, and cleaning up old estimates
Search
The search on the Customers list (app and web) looks through:
- customer and location names and addresses (and billing name and address)
- every contact's name, email and phone — type any part of the number, with or without dashes
- estimate numbers (1042 or #1042), and estimate titles on the web
- invoice numbers: the QuickBooks invoice (and deposit invoice) made from an estimate, and past invoices brought in from QuickBooks. Type the number, or Invoice 5520. Owners, admins, estimators and office staff can search numbers; techs can't, since invoices show prices.
On the web, matching estimates and invoices show in their own lists under the customers; click one to open it. In the app, the customer shows with what matched (for example Invoice 5520) under its name. Number searches need a connection. Archived customers and locations are left out unless you tick Include archived (web) or pick Archived in the filter menu (app).
Estimate numbers
Every estimate gets a number, counting up from #1001 for your company. Preflight assigns it the first time the estimate is saved; your older estimates were numbered oldest first. The number shows in the customer's estimate list and prints on the proposal sent from the web, so a customer can read it to you on the phone.
Delete a draft that was never sent
An estimate that never went to the customer can be deleted:
- App: open it and tap Delete Estimate, or swipe it in the customer's list.
- Web: click Delete next to it in the customer's Estimates folder, or Delete Draft on the estimate.
Anything that was sent can't be deleted, so your history (and Results) stays complete. Archive it instead.
Archive old estimates
Archiving hides an estimate from the customer's list and the Estimates pipeline but keeps it, and it still counts in Results.
- App: open it and tap Archive Estimate, or swipe it and tap Archive. Show Archived at the bottom of the list shows them again.
- Web: click Archive next to it. Archive N older than a year archives everything with no activity in the last 12 months in one step. Show archived brings them back into view, and Unarchive puts one back.
