Sales — leads, follow-ups and activity
The Sales tab (app) and Sales page (office web) are for owners, admins, estimators and office staff.
Leads
A lead is a business you're working to win. Add the name, contact and phone, then move it through the stages: New → Contacted → Meeting Set → Walkthrough Done → Proposal Sent → Won / Lost (or Not Now to check back later). Give it a salesperson and a rough yearly value for the pipeline total.
When they're ready for a walkthrough, tap Make Them a Customer: the business and contact go into Customers (where you scan and estimate) and the lead keeps its history.
Log everything
Log a Call, Email or Visit: what you did, the outcome ("No answer", "Asked for a proposal"…), notes, and when. You can log yesterday's call, but every entry is stamped with when it was logged and who logged it, and only owners and admins can change or remove one.
Follow-ups
Every lead should have a next step with a due date (a lead without one shows No next step). Customers have them too — the Follow-Ups & Activity section on the customer.
The Follow-Ups view shows what's Overdue, due Today and Coming Up (tick one off when it's done), plus Proposals Waiting: sent 3+ days ago with no answer and no follow-up set. Tap Follow Up to put it on today's list — proposals followed up within a few days close far more often.
Team activity (owners and admins)
Per person for the last 7, 30 or 90 days: calls, emails and texts, visits and meetings, new leads, follow-ups done and overdue, and the last time they logged anything — plus the full activity feed.
From an estimate: Talked to them / Left a message
Every saved estimate has a Customer Contact section (app and web): Call the contact, Text, Directions, and one-tap logs — Talked, Left Msg, Emailed, Texted (with an optional note). The last contact shows on the estimate and in Proposals Waiting.
- Left a message or emailed: a Call back follow-up goes on your list for two days out (unless one is already open).
- Talked to them: the open call-back is ticked off.
Call and get directions from the app
Tap a phone number (customer, contact, lead, estimate, appointment) to call; the message icon texts. When you come back to the app after a call, it asks How did the call go? — Talked to Them, Left a Message or No Answer — and logs it for you.
Directions opens driving directions in Apple Maps, Google Maps or Waze. Tap for the one you used last; hold (or tap the arrow) to pick another. It's on the customer, job sheet, appointment and lead screens. On the office web page, phone numbers are click-to-call and the address has a Directions link.
